Privacy Policy

Since its establishment, NITTO KOGYO CORPORATION (the "Company") and its group companies (the Company and its group companies collectively, the "Group"; please refer to "About joint use" below for the scope of the group companies) have strived to gain trust of the shareholders, sales partners, suppliers, and local residents and to be an upstanding company based on our corporate creed, "We aim to contribute to society with excellent products and to bring prosperity to the company and its employees by improving productivity."

In addition to realizing this philosophy, the Group recognizes the importance of personal information and believes ensuring the protection thereof is an indispensable requirement. To that end the Group implements the following initiatives and has established a privacy policy regarding the handling of personal information the Company acquires, and appropriately implements the privacy policy. Unless specifically prescribed in this Privacy Policy, each of the terms shall be in accordance with the provisions of the Act on the Protection of Personal Information of Japan (the "Personal Information Protection Act").

1. We stipulate regulations on the management and protection of personal information we possess, and endeavor to properly manage and protect personal information by improving our organizational structure.

2. Upon handling personal information, we will specify the purpose of use and we shall not handle personal information beyond the scope of the specified purpose of use without obtaining the consent of the individual.

3. When acquiring personal information or making any changes to the purposes of use, we shall inform the individual of or publicize the purposes of use or the changed purposes of use. We appropriately acquire personal information and do not acquire personal information by deception or other unlawful means.

4. Personal data is kept accurate and up to date, and measures are taken to prevent unauthorized access, loss, destruction, tampering, leakage, and the like of personal data.

5. When delegating the handling of personal data to any outside delegatee, we shall obligate the delegatee by contracts to prevent leakage and unauthorized sub-delegation of information and shall implement appropriate management.

6. Personal data is not provided to third parties without obtaining the consent of the individual in advance.

7. If an individual wishes to confirm, correct, add, delete, or stop the usage of the retained personal data through our contact center, we will promptly take measures in response to a reasonable extent.

8. In addition to complying with the laws and regulations and norms applicable to personal information, we continually maintain, inspect, and improve our efforts and protection stated in the above paragraphs.

Some companies, products, or services of the Group may have individual privacy policies, in addition to or separate from this Privacy Policy, which provide detailed information regarding the handling of personal information of customers, business partners, employees, and the like. If there are any discrepancies between this Privacy Policy and the individual privacy policy, the individual privacy policy shall prevail.

Purposes of use of personal information

The Company uses the following personal information within the scope of the purposes set out in the following items. For details regarding sharing of personal information with group companies and the like, please refer to "About joint use" below.

1. Information of customers

(1) To contact, engage in busines negotiations and meetings, and perform contracts in order to examine and conduct transactions
(2) To deliver products based on the information entered when the product was ordered
(3) To deliver a substitute and a repaired product, dispatch constructors, and the like as support for repairs, maintenance, and after-sales service of products
(4) To analyze information such as purchasing history, browsing history, and the like and distribute information related to products, services, and the like that match a customer's preferences
(5) To introduce information related to products, services, and the like that the Group provides
(6) To collect and analyze information such as market research for the purpose of enhancing the quality of, developing, and improving our products and services
(7) To record the contents of the inquiries and consultations and the Company's response and use the records to improve our future services and confirm the Company's status of responses to customers
(8) To manage factory tours, seminars, trips, and the like such as ascertaining the number of participants and sending announcements
(9) To reply and take measures in response to the various inquiries submitted by inquiry forms on the "Contact" page of our website
(10) To contact persons who have purchased a product or persons who use a service regarding the suspension of use or returning of the product or a suspension of use of the service in order to comply with laws and regulations, ordinances, and other restrictions such as in response to recalls

2. Information of related persons which we came into contact with in the course of business such as contact persons of business partners

(3) To analyze information such as purchasing history, browsing history, and the like and distribute information related to products, services, and the like that match a customer's preferences
(4) To collect and analyze information such as market research for the purpose of enhancing the quality of, developing, and improving our products and services
(5) To contact persons who have purchased a product or persons who use a service regarding the suspension of use or returning of the product or a suspension of use of the service to in order to comply with laws and regulations, ordinances, and other restrictions such as in response to recalls

4. Information of shareholders

(1) To exercise rights such as voting rights and comply with obligations under the Companies Act of Japan

(2) To provide various benefits for the status as a shareholder, such as remitting the Company's dividends and sending investors reports

(3) To conduct various measures such as engaging in investor relations to facilitate the relationship between shareholders and the Company

(4) To prepare data, process the information for statistics, and the like under various laws and regulations and manage shareholders

5. Information of recruitment applicants

(1) To provide recruitment applicants (including internships) with schedules for recruitment interviews and information on recruitment events

(2) To decide whether to accept or reject a recruitment applicant and to make contact regarding the results thereof

6. Information of retirees

(1) To manage the payment of retirement allowances and the like

(2) To operate, manage, draw up projects for, and analyze the retiree club (shayukai)

(3) To contact retirees and take measures in response to inquiries from retirees

7. Information of the Group's officers and employees, and relatives thereof

(1) To share information of employees between the companies of the Group, and develop human resources and conduct adequate assignments of personnel

(2) To manage human resources and personnel matters (drawing up plans for and analyzing organizational structures and personnel assignments, assessment of abilities and business results, determination of promotions and demotions, and drawing up projects for and analyzing payment of retirement allowances and the like, management, and various policies on human resources)

(3) To pay and manage salaries and the like (implementing matters related to salaries prescribed in the salary regulations and the like, assessing salaries and bonuses and managing the payment details thereof, managing and analyzing attendance and absence status, and drawing up projects for and analyzing various policies on treatment regarding salaries)

(4) To utilize and develop human resources (implementing, managing, drawing up projects for, and analyzing the education of employees, formulating a personal development plan, supporting self-enlightenment, and drawing up projects for and implementing other various measures aiming to utilize and develop human resources)

(5) To implement, manage, draw up projects for, and analyze benefits (the benefit system, mutual aid association (kyosaikai), and retiree club (shayukai))

(6) To conduct procedures for social insurance and tax (procedures for health insurance, employee's pension insurance, and labor insurance, withholding tax regarding income, and processes concerning special collection of inhabitance tax)

(7) To manage health and safety (implementing, drawing up projects for, and analyzing the various measures to ensure, sustain, and improve the mental and physical health and safety at work of the employees and performing safety obligations that need to be implemented as a company and deciding on operational measures to perform those obligations)

(8) To share information of employees and use the information for matters related to BCP such as confirming safety in emergency situations such as during a disaster

Restrictions on providing personal data to a third party

The Company will not disclose or provide personal data to a third party without obtaining the consent of the individual except when it falls under any of the following cases.

(1) When the disclosure or provision of personal data is conducted in accordance with laws or regulations

(2) When the disclosure or provision of personal data is necessary for the protection of the life, body, or property of an individual and when it is difficult to obtain the consent of the individual

(3) When the disclosure or provision of personal data is especially necessary for improving public health or promoting the sound growth of children and when it is difficult to obtain the consent of the individual

(4) When the disclosure or provision of personal data is necessary for cooperation with a state organ, a local government, or any party delegated by either a state organ or local government to execute processes prescribed by laws and regulations and when obtaining the consent of the individual is likely to impede the execution of those processes

(5) When the third party receiving personal data is an academic research institute or the like, and the third party needs to handle the personal data for the purpose of academic studies (including cases when a part of the purpose for handling the personal data is for academic studies, and excluding cases where the purpose entails the risk of unjustly infringing the rights and interests of any individual)

(6) When providing the personal data to a delegatee within the scope necessary to perform business (please refer to "Contracting the handling of personal data" below)

(7) When personal data is provided upon succession of business due to a merger, company split, transfer of business, or other such case

(8) When jointly using the personal data between the companies of the Group (please refer to "About joint use" below)

Contracting the handling of personal data

The Company may delegate to a third party all or a part of the business regarding handling personal data to the extent necessary to achieve the purposes of use of personal data. In this case, the Company will, for the safe management of personal data by the delegatee, in addition to choosing an appropriate delegatee, conduct necessary and appropriate supervision over the delegatee such as executing an agreement regarding confidentiality and protection of personal information with the delegatee and confirming how personal data is handled by the delegatee.

About joint use

The Company may, for any purpose of use set out above, jointly use any of the following items regarding the personal data of customers, business partners, related parties, recruitment applicants, and retirees that are necessary for the achievement of that purpose of use with any company of the Group, NITTO KOGYO partner holding companies, and the Nitto Foundation.

Transfer of personal information outside of Japan

The Company is engaged in global business activities together with other Group companies, and personal information may be transferred to countries or areas which do not have laws or regulations or the like regarding the protection of personal information that are equivalent to those of the country or area where the subject of the personal information lives or is located. Upon transferring the personal information outside of Japan, the Company will take appropriate measures in accordance with the matters prescribed in applicable laws and regulations.

Retention period of personal information

The Company retains the acquired personal information for as long as it is necessary to achieve the purposes of use or as long as it is necessary to comply with the obligations under applicable laws and regulations and the like.

About cookies and web beacons

Technologies called cookies and web beacons are used on our website to make it more convenient for customers to use.

A cookie is a small information file written onto a customer's PC in order to make exchanges between the customer's PC and our website.

A web beacon is a technology for analyzing and collecting statistics of website access status and the like of a website by using the information written in cookies.

The Company does not use any of these information and technologies for purposes other than for statistical understanding and analysis of browsing conditions, improving the convenience of websites, and distributing advertisements.

Customers may stop the use of cookies in their browser (browsing software) settings; provided, however, in such case customers may become unable to use part of the services.

About measures to protect personal data

In addition to taking necessary and appropriate measures to prevent the leakage, loss, or damage of personal data and other such measures for the safe management of personal data, the Company endeavors to improve such measures. Upon making the employees of the Company handle personal data, the Company conducts necessary and appropriate supervision over the employees of the Company for the safe management of the personal data.

The Company takes the following safety management measures for the safe management of the acquired personal data.

(6) Technical safety measures (restricting access, identifying and authorizing persons who access, preventing externally originating unauthorized access and the like, and preventing leakage and the like upon the use of information systems)

(7) Ascertainment of external environment (implementing safety management measures after ascertaining the systems regarding the protection of personal information of the country or area that personal data is retained in)

About the use of Google Analytics

We use Google Analytics provided by Google LLC to ascertain and analyze the status of visits to the webpages of our website and to use the information as a reference for providing content that better matches the interests of users who visit our website. Google Analytics collects, records, and analyzes information regarding access to the webpages of our website by using cookies. Inquiries about personal information

1. Please contact the department in charge of the personal information provided to the Company for requests for disclosure, correction, suspension of use, deletion, or the like of the information thereof.

We will take measures under the Personal Information Protection Act in response to such cases only if the person can confirm that he or she is the individual concerned or an authorized representative.

The Company may change, amend, add to, or delete the contents of this Privacy Policy from time to time in response to changes to laws and regulations, business-related requirements, and the like. If we make any substantial or material changes to this Privacy Policy, we will inform you to that effect on this page and, if necessary, will contact you by a method that enables you to become aware of those changes.
